Executive Assistant (part-time)

TYPING ASSIGNMENTS
- Typing of financial and non-financial documents
 
DOCUMENT PROCESSING ASSIGNMENTS
- Coordinate, collect and merge work by the staff in the regional offices and format them into professional documentation.
 
ASSISTANT & ADMINISTRATIVE DUTIES
- These include, but are not limited to, manning the reception, conducting research, office management, recordkeeping, reporting, etc.
 
JOB HOURS
- 4 hours a day 
 
CONTRACT TERMS & DURATION
- 6 months, with the option of extending the contract full-time
 
LOCATION
- The World Trade Centre, Geneva, Switzerland
 
MINIMUM SKILLS, ABILITIES AND QUALIFICATIONS
- English mother tongue is a must
- Must have at least a working knowledge of French
- Excellent and proven typing skills and knowledge of Microsoft office suite
- Over 10 years of administrative assistance experience.

  


Personal Assistant (full-time)
Location: Amman, Jordan 
Status: Open

 MINIMUM SKILLS, ABILITIES AND QUALIFICATIONS
• Applicants must hold at least a University Bachelor’s degree.
• Excellent computer skills in Microsoft Office Suite (Mac & Adobe-related programs are a big plus).
• Excellent command of the Arabic language
• Excellent command of the English language
• Excellent English and Arabic Typing Skills
• Very time efficient and flexible, self-motivated, and organized
 
MAIN RESPONSIBILITIES
 
1. Translation And Typing Assignments
a. Typing financial and non-financial documents in English & Arabic
b. It is the responsibility of the PA to know/learn the relevant translations of English business, financial and accounting terms to Arabic
 
2. Document Processing Assignments
c. Coordinate, collect and merge work by the staff and format them into professional documentation.d. It is the responsibility of the PA to know/learn the proper formatting requirements for the different types of documentation as needed.
 
3. Administrative Duties - The PA is expected to do the following:
e. Front Desk Reception, make travel bookings, perform client calls and coordinate with clients, set-up appointments, coordinate staff as well  as liaise with any other administrative staff on the afore mentioned duties. Other range of administrative duties as needed, e.g. recordkeeping, reporting, research, etc.
f. Manage the GSG office in Amman, Jordan regarding equipment and general maintenance and the supervision of other office staff that relate to such.
 
4. Other Duties as Assigned -The nature of the PA requires him/her to be flexible and to complete other requests that fulfill the mission of the PA.
g. The above responsibilities also relate to any and all the work conducted by the regional managers, whether located in Jordan or otherwise.
 
TIME COMMITMENT – The PA is expected to adjust his/her time schedule when needed for any ad-hoc and last minute assignments.
 
PRESENTABILITY – the PA is the face of GSG and is therefore expected to:
  • Be constantly in presentable attire (i.e. business professional)
  • Demonstrate professional mannerisms and show an ability to communicate effectively with guests and clients.
